Privacy Policy

This Privacy Policy describes how LeftClickTech ("LeftClickTech", "we", "us", or "our") collects, uses, stores, and protects your personal information when you use the LeftclickTech Leave Management System mobile application (the "App"). The App is provided to employees and authorized personnel of LeftClickTech for the purpose of managing leave, attendance, profiles, and related workplace functions.
By creating an account or using the App, you agree to the collection and use of information in accordance with this Policy.
1Who This Policy Applies To
The App is an internal workforce tool. Accounts are created by your administrator; the App does not support public self-registration. This Policy applies to all employees and authorized users who access the App.
2Information We Collect
We collect only the information needed to operate the App and provide its features.
2.1 Information you provide
- Account and identity details: name, work email address, and the password you set (passwords are stored only in hashed form and are never visible to us).
- Profile details: information shown in your employee profile, such as job title, department, joined date, and any contact details you add.
- Leave information: leave requests, leave type, dates, reasons you choose to provide, and leave balances.
- Attendance information: check-in and check-out times and related attendance records.
- Documents and acknowledgements: documents you are asked to review or sign (for example, NDAs) and the status of those signatures.
- Support content: tickets, messages, or requests you submit through the App.
2.2 Information collected automatically
- Authentication and session data: session tokens and login activity used to keep you signed in securely (sessions expire after a period of inactivity).
- Device and technical data: device type, operating system version, app version, and basic diagnostic information used to keep the App working and secure.
- Log data: timestamps and records of key actions (such as submitting a leave request or checking in) for audit, security, and troubleshooting purposes.
2.3 Location information
The App collects your device location only at the moment you check in or check out, to verify attendance. Location is not tracked in the background and is not collected at any other time.
We do not knowingly collect any information from individuals under the age of 16. The App is intended for use by employees only.
3How We Use Your Information
We use your information to:
- Authenticate you and keep your account secure.
- Provide core features: leave requests and balances, attendance, profile management, tickets, and document signing.
- Generate reports and records required for payroll, scheduling, and workforce administration.
- Send you notifications and emails related to your account, leave decisions, attendance reminders, and password resets.
- Maintain audit logs and ensure compliance with internal and legal obligations.
- Diagnose problems, improve reliability, and protect against fraud, abuse, and unauthorized access.
We do not use your personal information for advertising, and we do not sell your personal information.
4Legal Basis for Processing
Where applicable law requires a legal basis, we process your information on the basis of: (a) performance of your employment relationship and the operation of the App; (b) our legitimate interests in administering the workforce securely and efficiently; and (c) compliance with our legal obligations under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.
5How We Share Information
We share information only as needed to operate the App:
- Within your organization: authorized administrators and managers can view the leave, attendance, profile, and report data relevant to their role.
- Service providers: we use trusted third parties strictly to deliver App functionality, including:
- Email delivery providers (to send notifications, password resets, and reports).
- Document signing provider (DocuSeal) for NDA and document workflows.
- Cloud hosting and database infrastructure where the App and its data are hosted.
These providers process data only on our instructions and are bound by confidentiality and data-protection obligations.
- Legal and safety: we may disclose information where required by law, court order, or to protect the rights, safety, and security of our organization and its people.
We do not sell, rent, or trade your personal information to third parties.
6Data Storage and International Transfers
Your information is stored on secured servers operated by us or our hosting providers, located in Australia. Some service providers (such as the document signing provider) may process data in other countries. Where data is transferred across borders, we take steps to ensure it remains protected in line with this Policy and applicable law.
7Data Retention
We retain your information for as long as your account is active and for as long as needed to fulfill the purposes described in this Policy, comply with legal and tax obligations, resolve disputes, and enforce our agreements. Leave, attendance, and report records may be retained for 7 years in line with employment and recordkeeping requirements under Australian law. When information is no longer required, we delete or anonymize it.
8Security
We use technical and organizational measures to protect your information, including encrypted connections (HTTPS/TLS), hashed password storage, role-based access controls, session expiry, and audit logging. While no system can be guaranteed perfectly secure, we work to protect your information against unauthorized access, alteration, disclosure, or destruction.
9Your Rights and Choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your information, subject to legal and employment recordkeeping requirements.
- Object to or restrict certain processing.
- Request a copy of your information in a portable format.
Much of your profile information can be viewed and updated directly in the App. For other requests, contact us using the details in Section 13. We will respond within the timeframe required by applicable law.
Note: because the App is an employer-provided tool, some information (such as attendance and leave records) must be retained for legitimate business and legal reasons even if you request deletion.
10Notifications and Emails
The App sends operational emails and notifications (for example, leave approvals, attendance reminders, and password resets). These are necessary for the App to function and are not marketing communications.
11Account and Data Deletion
To request deletion of your account and associated personal information, contact your administrator or email us at admin@leftclicks.com.au. We will process the request subject to the employment and legal recordkeeping obligations described in Section 7.
12Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the App or by email. Your continued use of the App after changes take effect constitutes acceptance of the updated Policy.
